Document numbering
Pick the number your next quote, job, invoice or request gets, for example to carry on from the numbers in your old system.
Who can do this: Admins, dispatchers and accountants.
Also called: invoice numbers, quote numbers, starting number.
-
Open Document Numbering and type the number the next one of each should get in Quote next #, Job next #, Invoice next # and Request next #. After that, each new one counts up by one.
On a computer: Left menu → Settings → Document Numbering On a phone: More → Settings → Document Numbering
-
Under Supplier order number, choose Same as the quote number to give each supplier order the number of the quote it’s for, or Its own numbering to count them separately. With Its own numbering, set where they start in Supplier order next #.

-
Click Save numbering.

-
To change the number of one quote, job, invoice or request that already exists, open it and click the pencil next to its number. Type the new number and press Enter, or click the tick.

Good to know
Section titled “Good to know”- Numbers are plain whole numbers, 1 or more. There are no letters or prefixes.
- You can’t set a next number at or below the highest one you’ve already used; Astragal raises it to one above your highest. Requests are the exception: they use the first unused number.
- With Its own numbering, Astragal doesn’t check Supplier order next # against orders you’ve already made, so don’t set it below numbers you’ve used.
- Two documents of the same kind can’t share a number. If you type one that’s taken, Astragal says so and asks you to choose a different number.
- Once an invoice has a payment recorded on it, its number is locked and shows a padlock.
- Giving one document a higher number moves the next number up past it, so new documents never land on it. If you give one document a high number by mistake, every new one counts on from it. Change that document’s number back, then type the next number you want here again and click Save numbering.
- Anyone who can edit a quote, job, invoice or request can change its number.
