Revenue and accounts receivable
See how much money came in, how much you invoiced, and who still owes you.
Who can do this: Anyone who can open Reports (see The reports page).
Also called: sales, income, AR, money owed, aging report.
-
Open Reports and pick Revenue. The figures at the top are “Collected revenue” (payments received, less refunds), “Invoiced revenue” (the totals of invoices made in the period, tax included), “Invoices created” and “Payments recorded”. The chart Collected vs invoiced revenue shows both side by side, with the number of invoices.
On a computer: Left menu → Reports On a phone: More → Reports
-
Scroll down to the three tables: Revenue by customer, Revenue by job and Revenue by source. Each shows what was collected and invoiced, and how many invoices and payments that was. Revenue by job only includes invoices that belong to a job. The biggest collected amounts are at the top.

-
Click Section: and pick Accounts receivable. The figures are “Open invoices”, “Open balance”, “Overdue balance”, “Due soon” (how many invoices fall due in the 14 days from the end date) and “Written off as bad debt”. Aging buckets groups the money owed by how late it is on the end date: “Current” (not yet due, or no due date), “1-30 days”, “31-60 days”, “61-90 days” and “91+ days”.

-
Scroll down to Open invoices. Every invoice with money still owing is listed, the most overdue first, with its client, status, Due date, Days overdue, Total and Balance due.

Good to know
Section titled “Good to know”- Cancelled (void) invoices are left out, and so are payments on them, except deposit money on a cancelled deposit invoice, which still counts. Card payments still being checked are counted once they clear. Draft invoices are counted as soon as they are made: in “Invoiced revenue”, and in the money owed on Accounts receivable until they are paid.
- A refund comes off “Collected revenue” on the day it was refunded, not on the day of the payment it reverses, so a day or month on the chart can go below zero.
- Deposits taken on a quote count as soon as they’re paid, under the deposit invoice made for them.
- Accounts receivable lists invoices made on or before the end date that still have money owing today. It isn’t a picture of what was owed on that past date.
- Invoices written off as bad debt are left out of “Open balance” and shown on their own in “Written off as bad debt”. See Bad debt.
- Days are counted in UTC (Greenwich time), so a payment recorded late in the evening in North America can land on the next day.
- To chase overdue invoices automatically, see Automatic invoice reminders.
